Acquiring Mail Ballot Requests

Who can acquire mail ballot data?

Section 101.62(2) of the Florida Statutes limits the release of Vote-by-Mail ballot request data beginning 60 days before the primary until 15 days after the general election to " ... the voter requesting the ballot, a canvassing board, an election official, a political party or official thereof, a candidate who has filed qualification papers and is opposed in an upcoming election, and registered political committees for political purposes only."

In addition, anyone requesting mail ballot information must have a current signature on file with our office affirming that they are authorized by the above statute to receive mail ballot information.

Where can mail ballot data be obtained?

Requests for mail ballot data can be made by emailing the completed and signed mail ballot data request form to Records@VoteBrevard.gov, or by contacting one of our election offices.

How is the data formatted?

Available file format: All data is delivered by email in comma delimited text format, which can be opened by or imported into many different programs. Certain programs, such as Microsoft Excel, may have limitations which make them usable only for relatively small databases; consult your software documentation for exact limits.

Available filter options: Precinct, district, city

File layout specifications

How do I use the data once I get it?

Manipulation of the data described above requires software which is not provided by the Elections Office. Elections Office personnel can provide only very limited support for questions and problems. It is highly recommended that you consult someone with computer expertise prior to placing your order to determine exactly what hardware, software, and data you will need.

Here is an example of how to use the data in Microsoft Excel and Word, although these programs may not be the best to use in all circumstances.

When can data orders be picked up?

Barring unforeseen circumstances, orders received by 3:00 PM may be picked up after 11:00 AM the next business day at the Viera Elections Office. Add one additional day if the order is to be picked up at the Titusville, Melbourne, or Palm Bay Elections Offices. The information is current as of 8:00 AM on the date of your request. Voter history information for an election is generally available within 15 days following the election.

How much does mail ballot data cost?

There is no charge for digital data if the total cost per month is less than $25.  Should charges for digital data exceed the $25 per month complimentary order, payment must be made prior to the release of information. Any outstanding balance must be paid prior to placing a new order. Candidates and political committees must make payment from their campaign or committee account. Incumbent office holders must pay from their office account.
